Trader Terms and Conditions

These Terms and Conditions apply to all traders taking part in markets organised by Our Local Market (referred to as "we", "us" or "the Organiser").

By booking a pitch, you are agreeing to these Terms and Conditions.

Our aim is to create a welcoming, safe and successful market for everyone – traders and customers alike. These guidelines help us do that.

 

1. Booking and Payment

1.1 All bookings must be made through Our Local Market and are subject to availability and approval.

1.2 A completed booking form and full payment is required to secure a pitch.

1.3 Pitches are not confirmed until payment has been received (maximum of 48 hours from payment link being sent to you).

1.4 Pitch fees are non-transferable unless agreed in writing by the Organiser.

 

2. Cancellations and Refunds

2.1 If a trader cancels: - More than 48 hours before the event: a refund will be offered. - Less than 48 hours before the event: unfortunately, no refund can be given.

2.2 If we need to cancel the event due to circumstances outside of our control (for example extreme weather, venue closure or other unforeseen issues), traders will be offered either a refund or a credit towards a future market. We are unable to cover any additional costs incurred by traders.

 

3. Arrival, Set-Up and Trading Times

3.1 Traders must arrive within the time window stated in the joining instructions.

3.2 All vehicles must be unloaded and removed from the trading area by 09:30am.

3.3 Traders are expected to trade for the full duration of the event unless agreed in advance with the Organiser.

3.4 Packing up early without permission is not allowed, as it affects the experience for customers and other traders.

 

4. Pitch Allocation

4.1 Pitch locations are allocated by the Organiser and may change if required for operational or safety reasons.

4.2 Traders must stay within the boundaries of their allocated pitch.

4.3 Pitch sharing or sub-letting is not permitted.

 

5. Products and Trading Standards

5.1 Only goods approved at the time of application may be sold.

5.2 Traders must comply with all relevant consumer, trading standards and product safety legislation.

5.3 The sale of illegal, counterfeit or offensive goods is strictly prohibited.

5.4 We reserve the right to ask for any unsuitable products to be removed from sale.

 

6. Food and Drink Traders

6.1 All food and drink traders must: - Be registered with their local authority. - Hold an appropriate Food Hygiene Rating where applicable. - Follow current food safety and allergen regulations.

6.2 Copies of certificates may be requested before or during the event.

 

7. Insurance

7.1 All traders must hold Public Liability Insurance with a minimum cover of £5 million.

7.2 Proof of insurance must be provided before trading and kept up to date.

7.3 Traders should bring a copy of their insurance documents with them to each market

 

8. Electrical Equipment

8.1 All electrical equipment must be safe and PAT tested.

8.2 Cables must be secured to avoid trip hazards.

8.3 We reserve the right to disconnect any unsafe equipment.

 

9. Health and Safety

9.1 Traders are responsible for keeping their pitch safe, tidy and free from hazards.

9.2 No naked flames or hazardous equipment are permitted unless agreed in advance.

9.3 Any spillages or breakages must be dealt with immediately.

 

10. Waste and Cleanliness

10.1 Traders must remove all rubbish from their pitch at the end of the event.

10.2 Pitches must be left clean and tidy.

10.3 Failure to do so may result in additional cleaning charges.

 

11. Behaviour and Conduct

11.1 We ask all traders to behave in a friendly, professional and respectful manner.

11.2 Aggressive, abusive or inappropriate behaviour towards staff, other traders or members of the public will not be tolerated.

11.3 We reserve the right to remove any trader who does not follow these Terms and Conditions.

 

12. Weather and Outdoor Events

12.1 All trader provided gazebos must be suitable for outdoor use and properly secured with a minimum of 10kg weight per leg.

12.2 In poor weather conditions, traders must follow instructions from the Organiser for safety reasons.

12.3 If wind gusts reach a level exceeding 40mph then no gazebos shall be permitted to be used, and only traders trading from vehicles will be able to trade.

12.4 We may close the market early if weather conditions become unsafe.

 

13. Liability

13.1 Traders attend and trade at their own risk.

13.2 Our Local Market accepts no responsibility for loss, theft or damage to traders’ property, stock or personal possesions.

13.3 Traders are responsible for any damage they cause to the venue, equipment or third parties.

 

14. Data Protection

14.1 Any personal information provided will be used only for market administration and communication.

14.2 Data will not be shared with third parties unless required by law.

 

15. Photography and Marketing

15.1 Photos and videos may be taken at our events for marketing and promotional purposes.

15.2 By attending, traders agree that images of their stall may be used unless they notify us in writing beforehand.

 

16. Changes to These Terms

16.1 We reserve the right to update these Terms and Conditions at any time. The latest version will always apply.

 

17. Acceptance

By booking a pitch with Our Local Market, traders confirm they have read, understood and agreed to these Terms and Conditions.
